Events Setup Coordinator
This position is a part-time role that performs a variety of tasks related to the coordination of facility use for onsite campus meetings and events. The overall objective for this position is to have rooms and areas setup for inside and outside uses of our Church property in a timely manner prior to an event and to take down and reset rooms or areas to their next intended use. The number of hours worked each week will fluctuate according to the number of events and meetings occurring on campus. The coordinator will be responsible for clocking in and out using an ADP app on their phone.
Reports to: Director of Operations
Employment Status: Part-time (0 to 15 hours per week)
Pay Rate: $15 - $18 per hour
JOB QUALIFICATIONS:
Education: High School Diploma or equivalent required.
License/Certifications: Valid Georgia Driver’s License
EXPECTED BEHAVIORAL CHARACTERISTICS:
Candidate should have a servant’s heart that enjoys serving others by utilizing their talents, skills, and experience to support the overall mission of Watkinsville First Baptist Church to, “glorify God by making wholehearted followers of Christ”. The individual should be a dependable self-starter which takes initiative on their own to identify and resolve issues that arise associated with the use of the facilities and grounds for meetings and events. The individual must be a team player that works well with and supports the ministry staff of the Church. Must pass background check.
SKILLS:
Ability to follow oral and written instructions quickly and accurately; ability to communicate with others in an effective and tactful manner.
WORK EXPERIENCE:
Experience coordinating events and communicating effectively to members of his/her team to effectively have rooms, spaces, and areas ready for the upcoming event.
RESPONSIBILITIES INCLUDE:
Working closely with the Church’s Executive Assistant in order to keep up with all events and meetings coming up. The Events Setup Coordinator should be aware of upcoming events 4-6 weeks in advance in order to plan for effectively providing the necessary items and needed manpower for setting up for events, and always maintaining open communications with everyone involved.
Be aware of where all chairs, tables, dry erase boards, TVs, ice coolers, etc. are stored.
Discuss specific setup facility needs with the requestor/staff member to ensure all needed items are provided in a timely manner.
Coordinate the unlocking and locking of facilities for each event.
Identify and recruit individuals to be called on to assist with event setup when needed.
Ensure that all chairs, tables, coolers, TVs, dry erase boards, etc. used for an event are returned to their respective storage spaces.
Maintain inventory of chairs and tables.
Identify potential conflicts with use of resources and create solutions for meeting the setup needs especially when multiple events are needing the same resources.
Take care of removing trash and refreshing bathrooms when needed prior to another event taking place in the same space.
Proactively identify efficiencies and improvements to facility and event set up.
Coordinate schedule with cleaning crew as needed based on facility usage.
Serve as a Wedding Facilities Host by being responsible for the following items:
● Unlock facilities before rehearsal/ceremony.
● Make sure facilities are in order before use.
● Coordinate dressing areas for the ceremony.
● Prepare requested facilities, restrooms, and dressing areas to the state of readiness for the event.
● Ensure that facilities are back in order following use.
● Lock the facilities following use.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is required to stand, walk, negotiate stairs, climb ladders, reach with hands and arms, talk and hear, manipulate tools and small items with hands, and lift and transport up to 50 pounds over short distances. Employee is required to operate a motor vehicle in performance of duties. Specific vision abilities required by this job include close vision, distance vision, and color vision. The employee may be subjected to a wide range of ambient temperature and humidity conditions while carrying out their duties.
